I once had a thermostat replaced at a dealer that for some reason, didn't have a contract or whatever with Forest River, thus, I had to apply for reimbursement (I was still under warranty). I shipped the part, wrote a very long and detailed letter to Forest River, and got the reimbursement in three weeks. I also called every couple days to "check status." It helps to be a "squeaky wheel."
Just write a very professional letter, use good grammar and whatever. Email may work, but I prefer the letter route.
