Registration update 4/19 2:15 pm

Here’s where we are.

We’ve been notified by EventBee that all except 31 transactions have been posted, and confirmations have started flowing. I receive copies of the confirmations when you do.

If you entered multiple transactions, both (or more) have been posted.

Here’s what we’re doing next.

Cindy and I are going through all of the transactions name by name and are writing programs to search for duplicates by matching last name with several other fields, including zip code and RV brand. (We can’t reliably use first name because in some cases husbands and wives entered transactions under their own names.)

Where we find duplicates in which there’s only a request for a site, such as two requests for an RV with two adults, we will keep one and cancel / refund the other.

If there are transactions where someone ordered tours only but did not request an RV site to attend the rally, we’ll contact you and we’ll enter a transaction for an RV site. (Oh, yes, some of you did!)

The most complex transactions involve tours. If you have multiple transactions with tours that are identical, we’ll cancel and refund one of the transactions and keep the other. If they involve different combinations of tours, for example where you ordered one mix of tours on one transaction, but a different mix on another, we’ll contact you to see what you intended to do so that we cancel the appropriate one(s). There’s no need to contact us to initiate the cancellation.

After we make the cancel and refund the duplicates, we’ll send you an e-mail to let you know what adjustments we made.

What about the 31 non-posted orders?

Those orders have requests for tours that in some cases are already filled. Someone might have requested three tours, for example, and only two are available. As we eliminated duplicates, there will be some tour seats that become available, and those 31 orders will be filled. THEY WILL ALL HAVE RALLY SITES, but IT IS POSSIBLE that some might not be able to have all of their tours filled We’ll refund the amount of those tours and put the people at the top of the tour standby list if that’s the case.

I do not yet have the list of names and details for those orders, but have requested them.

Is this a quick and simple process?

No

Do you want to make sure you get it right before re-opening the registration site?

Yes

When will we start seeing refunds if we entered duplicate transactions?

At least on the most straightforward transactions (no tours), we hope to start issuing cancellations and refunds over the weekend. They should hit your card within 24-48 hours after they’re issued. We’ll get the others as quickly as we can work through them.

When do you expect to re-open the registration site?

We’ll re-open once we’ve completed the refund process so that we know how many sites we have left and how many seats (if any) are available on each tour. We’ll post at least a 48-hour notice before re-opening the site, so it will be at least early next week.

When the dust settles it would be nice to know just how many registered before you shut down the site.

I bet no one thought the rally would sell that fast. But it seems like 500 people had there finger on the button and it overwhelms the system

Last year the rally was selling out over a span of 21 hours and not everybody was trying to get a site at one time. This year with the rally being so popular if you didn’t have your finger on the button you wouldn’t get a site. But it’s all well

Well if post 1348 is number 712 I would think it would have sold out in one hour. I'm 574 and did mine at 35 minutes after the opening. I don't think there are many openings left being that there were only 800 to begin with.
